Clocking in and out of a shift

Here's how staff use the clock feature from start to finish.

Open the clock screen

Staff open the Rundeck app on their phone or navigate to the shared kiosk at their location. The clock screen shows the current time, their scheduled shift, and the location they're assigned to.

Select the location

If your staff member works across multiple sites, they choose which location they're clocking in at. Rundeck uses GPS to verify they're within range of the selected venue.

Clock in with GPS verification

Staff tap the 'Clock In' button. Rundeck captures their GPS coordinates and verifies they're at the correct location. The clock starts running and the shift status updates to 'Clocked In' in real time.

Take breaks

During the shift, staff can log paid or unpaid breaks by tapping 'Start Break'. The timer pauses for unpaid breaks and resumes automatically. Managers can see break durations in the timesheet.

Clock out at end of shift

When the shift is over, staff tap 'Clock Out'. Rundeck records the final time, calculates total hours worked minus breaks, and adds the entry to the timesheet for manager review.

Get the most from clock in / out

A few ways to keep time tracking accurate and hassle-free.

Set GPS radius
Configure the GPS radius for each location in settings. A tighter radius (50m) prevents early clock-ins from the car park. A wider one (200m) suits large venues.

Use kiosk mode
Set up a shared tablet at each venue as a clock-in kiosk. Staff tap their name and clock in — no need for everyone to have the app installed.
Enable early clock-in limits
Prevent staff from clocking in more than 5 or 10 minutes before their scheduled start. This keeps payroll costs accurate.

Push notifications
Staff receive a reminder notification 15 minutes before their shift starts. This reduces late arrivals and missed clock-ins.
Enforce break rules
Configure mandatory break rules based on shift length. Rundeck will remind staff to take their required breaks during long shifts.
