How to

Creating and publishing a roster

Follow these steps to build your first roster and get it in front of your team.

Navigate to the Roster page

From your dashboard, click 'Roster' in the top navigation bar. You'll see a weekly grid view showing all your staff and their assigned shifts. Use the arrow buttons to navigate between weeks.

Select a location

If you have multiple locations, use the location dropdown at the top of the roster to filter by site. This lets you build rosters per location so each team sees only their shifts.

Filter the roster to see shifts for a specific location. Staff assigned to that location will appear.

Add shifts

Click any empty cell in the grid to add a shift. Set the start time, end time, and optionally add notes. The shift will appear colour-coded by role. You can also drag to duplicate shifts across days.

Review costs and hours

The roster footer shows a live summary of total hours and estimated costs for the week. Use this to stay within your labour budget before publishing.

Publish the roster

When you're happy with the roster, hit 'Publish roster'. Staff will be notified instantly via push notification and email. Published shifts appear in each staff member's portal and mobile app.

Get the most from rostering

A few ways to save time and keep your team happy.

Use shift templates
If your roster follows a similar pattern each week, duplicate the previous week and adjust. Saves building from scratch.

Publish early
Staff appreciate knowing their schedule in advance. Aim to publish at least one week ahead — they'll get notified instantly.

Watch the cost summary
The real-time cost estimate helps you stay within labour budgets. Check it before publishing to avoid surprises on payroll day.

Enable shift swaps
Let staff request shift swaps with each other. You approve the swap — less back-and-forth messaging for schedule changes.

Check leave first
Before rostering, check the Leave page for any upcoming approved leave. Rundeck will flag conflicts if you roster someone who's on leave.

For multi-site businesses, filter by location when building rosters. Each location manager can focus on their own team.

Common questions

How do I create a roster?+
Navigate to the Roster page, select your location, click on any empty cell to add a shift with start/end times. You can duplicate shifts, drag to move them, and publish when ready.
Can staff swap shifts?+
Yes. Staff can request shift swaps with each other through the app. The manager approves or declines the swap.
Does Rundeck show wage costs?+
